Privacy Policy

What We Collect

Depending on how you interact with RoommateReady, we may collect:

• Email address — used for account creation, sign-in confirmation codes, and notifications.
• Instagram handle — self-declared, used for tagging in feature posts and as your profile identifier.
• Uploaded images — photos you submit for feature posts or upload to your profile, stored on AWS S3.
• Bio and social links — profile information you provide to help other students learn about you.
• General analytics — how people use the platform, to maintain and improve it.

We do not collect or store passwords. Sign-in uses email confirmation codes only.

How Your Information Is Used

We use your data to:

• Create and manage your member account.
• Display your profile to other verified members at your school(s).
• Post your submission to your school’s Instagram account.
• Send you email notifications about your account and submissions.
• Show on-site notification indicators when you have unread messages.
• Maintain and improve the platform.

Enrollment Confirmation

During the submission process, you may be asked to confirm that you are enrolled at a university or college. This is informational only and is used to establish legitimate use of the platform for legal compliance purposes. It does not gate access to the platform.

Notification Channels

RoommateReady may notify you via:

• Email — confirmation codes, submission updates, account actions, and other notifications.
• On-site indicator — a notification badge visible when you are signed in.

By creating an account, you consent to receiving these notifications. You may delete your account at any time to stop receiving them.

Third-Party Services

RoommateReady uses the following third-party services to operate:

• AWS S3 — cloud storage for uploaded images.
• Meta / Instagram Graph API — posting feature content to school Instagram accounts.
• Postmark — transactional email delivery.

RoommateReady does not guarantee that information shared on third-party platforms can be removed or controlled once posted.

Data Retention and Deletion

Your data is kept indefinitely until you request deletion. Upon a deletion request:

• Your profile is removed from public view immediately.
• All data — including profile information, uploaded images (from S3), and associated records — is fully purged from all systems within 30 days.

Your Rights

You have the right to:

• Access your data — view your profile and account information at any time.
• Correct your data — edit your profile, bio, and social links.
• Delete your data — request account deletion by contacting us.

Security

We take reasonable steps to keep your information safe, including encrypted storage for sensitive credentials and secure session management. No online system is perfect — use the platform with that in mind.

Changes to This Policy

We may update this policy occasionally. If you continue using RoommateReady after changes, you are agreeing to the updated version.
